Track your SWaM Spending through new PSDS app in UBI

Supplier Diversity is pleased to announce the availability of its Inclusive Excellence Reporting Dashboard in UBI.  

Features of this dashboard include the ability to:

  • View spending history over the past three fiscal years with suppliers by SWaM (Small, Woman, and Minority-owned) or Local Business type.
  • Search for SWaM-certified or Local suppliers used by department, expenditure type, or SWaM certification type.
  • Benchmark your VP Organization’s or department’s spending with SWaM businesses against similar organizations or departments.
  • Explore SWaM suppliers to find sources for upcoming business needs. 

How to access the dashboard:
  • Login to UBI Analytics by clicking the link under “UBI QlikSense Hub:”https://ubi.virginia.edu/ubi-logon-0
  • From the UBI Analytics landing page select “Finance” on the left-hand side of the screen. 
  • Select “Supplier Diversity Inclusive Excellence Reporting.”
  • Select “Analyze Sheet” at the top of the screen.

FST Streamlines Expenditure Credits

As part of the Finance transformation (FST), the project team has determined a way to streamline the expenditure credit process for end users. Through the new approach, those in the schools/units will be empowered to have more control and ensure that credits make it back to exactly where they want them. The decision has been made (off to receive formal signoff next) to use ad hoc bank transactions in Workday Financials in order to record expenditure credit deposits against their original spend categories. This new process will be in place when Workday Financials goes live on July 1, 2022. 

The current process for expenditure credits involves people scanning checks with their remote deposit scanners then filling out an expenditure credit form that goes to the Cashier's Office. Once they receive the form, they complete the transaction against and expenditure credit-related expenditure type. The new process will start the same way: scanning checks with the remote deposit scanner. The locator code associated with the remote deposit scanner will attach to an ad hoc banking transaction in Workday Financials. That ad hoc banking transaction will be tied the to appropriate cost center. Automatically a Workday inbox task will be pushed to the deposit specialist associated with the cost center. From there additional approvals if the credit if it is related to a grant, fixed asset, or capital project will happen through Workday. This new process will reduce errors that need to be corrected after the transaction is completed as well as eliminating clearing strings that need to be reconciled because the credit will be applied directly to the FDM worktags that are supposed to receive it.

Ready, Set, Map! FDM Kickoff Starts Formal Mapping Proccess

On August 3, representatives from schools and units participated in an Foundation Data Model (FDM) Mapping Kickoff session. You may access the video of the FDM Mapping Kickoff session here. The session provided an overview of the anticipated mapping timeline and process, and participants had the opportunity to meet with their pod. As part of the support for mapping, representatives have been assigned into collaborative groups (pods) with colleagues whose work area has similar needs or anticipated worktag usage. Participants included the school/unit mapping exercise leads and some of their support colleagues who will collaborate to manage the mapping exercise in their areas. They will, of course, work with others in their schools and units as appropriate to complete mapping successfully. 

Mapping will be an iterative process, continuing from now through mid-March 2022. The FST team gathered resources to support mapping efforts on the FDM Resource Page in the online Community, which includes mapping logistics/instructions, value sets, and Oracle-to-FDM crosswalks. The page also includes a section on FDM basics, in case you're getting caught up on the changes that will take place as we transition from the Oracle Chart of Accounts to the Workday Financials FDM after go-live on July 1, 2022. The FDM Level-Setting Video is a good place to start.

Attention Recon@UVA users: We're moving!

 You may have heard that UVAFinance is reshaping its web presence (see the article linked below for more information).  The first iteration of the new site goes live on August 16, and Recon@ content will be one of the first sites to have content present on the new location.

Recon information is on our new page now, and you can see it here:  https://uvafinance.virginia.edu/ (just scroll a bit and look in the bottom right corner).  The space is still under construction, so don't worry if it doesn't look perfect right away.

The old Recon site will be available for a few weeks longer even after we go live with the new UVAFinance site, as we finish fine-tuning the content on the new site.

Update on UVAFinance Inclusive Excellence Efforts

 Sprint Discussions/Caste

For the summer (and into early fall), we are using our UVAFinance Sprint Discussions (held bi-weekly on Thursdays, starting at 4:30) to do a deep discussion of the book Caste: The Origins of Our Discontents by Isabel Wilkerson.

Last week, we started discussing Part Three: The Eight Pillars of Caste. This is difficult content and created a lot of discussion so we decided to extend our discussion of Part Three to the discussion on August 12 and adjust the rest of the schedule to accommodate this. We also will then be extending the book discussions through October 21.

Even if you have not joined us for prior discussions or haven’t read the book, please join us for these very thought-provoking conversations.

We will be discussing Part Four: The Tentacles of Caste on August 26.

As always, invite your friends and colleagues to participate in our discussions!

UVAFinance work with The Racial Equity Group

The UVAFinance Extended Leadership Team (which includes Senior Leadership team members and their direct reports) has been working with the Racial Equity Group since March 2021 toward the goal of “making racial equity standard operating procedure.” This work has included foundational training on racism, diversity, and equity, as well as how to analyze and think about processes, procedures, and decision-making with an eye toward equity. We started this work by completing an audit assessment of how we’re doing now, and where we can improve. We used the results of that audit assessment and the knowledge we’ve gained through training to develop a SWOT Analysis (Strengths, Weaknesses, Opportunities, and Threats) and strategic goals. These goals will be included in our Inclusive Excellence strategic plan.

To include the entire UVAFinance team in this work we have engaged the Racial Equity Group to facilitate two courses -- Bigger than Racism, which looks at how a racialized society produces inequality and racial disparities without racism, and Allies for Racial Equity, to help us develop skills to be allies in a racialized society, examine our own biases, and understand how these biases impact our interactions with others and decision-making.

Inclusive Excellence Recommendations

The UVAFinance Inclusive Excellence Team is currently working on the strategic recommendations for submission to UVA’s Office of Diversity, Equity, and Inclusion. Once submitted, we’ll post these recommendations on our website.

SRN Subgroups Update

To supplement the monthly Finance transformation Systems Remediation Network (SRN) meetings, subgroups have been formed and many are now actively meeting. 

Three out of the five planned groups relating to integrations have begun meeting, with two additional to be initiated in the next couple of weeks. Student Information System (SIS) and Operational Data Store (ODS) remediation subgroups are meeting, as well as those for UVA Wise and the Medical Center.

The groups generally review how participants are progressing on their remediation, identify what (if anything) the FST team can do to assist them to eliminate barriers, and more specifically discuss issues relating to their system which we are unable to do in the larger monthly SRN meetings. These meetings provide participants with the opportunity for more granularity and specific focus on their systems. Participants also discuss specifics related to integrations if they have any.

The Finance Engagement Team has been working hard to get the first phase of our agile rollout of the new UVAFinance website up and ready to roll.  We're happy to report that on Monday, August 16, the first iteration of the site will be live at https://uvafinance.virginia.edu/

To Sandbox or not to Sandbox?

It’s a question that comes up frequently as we move toward go-live in July of 2022: Will we have a practice tenant of Workday to learn in?

The possibility of a practice tenant, or “sandbox” as many call it, has been a subject of much interest since the beginning of Finance Strategic Transformation. It’s an attractive idea: people want access to a practice environment so they can get into the system and see how things work. They want to see their data in the system and get an idea of how they will do their daily work once the system is live. That’s totally understandable.

UVA’s implementation of Workday Financials will not have a true sandbox experience, but the course of the FST project between now and go-live will have many opportunities for you to satisfy your need to get comfortable with the system.

Mixing Metaphors:  an airplane IN a sandbox

Why no Sandbox? 

We’ve been big on metaphors during this project (remember James’ homebuilding analogy?), so let’s think about this in those terms. Imagine sitting on the runway in an airplane*, with the keys in your hand (don’t worry, it’s a small airplane!). The pilot hops out, patting the seat they’ve vacated, telling you to go ahead and take it for a spin.

That could be a great opportunity to learn how the controls work and how to taxi down the runway, even if you don’t actually take off . . . unless you’ve never had any lessons on piloting an airplane. If you’re totally new to being in the driver’s seat of an aircraft, it likely won’t be anything but a letdown, if not actually frustrating. You might be able to punch some buttons, but very little of note will actually happen.

The same goes with a sandbox of the Workday Tenant before we have training. Giving people access to an unfamiliar environment before they’ve been shown how things work invites frustration. You could be trying to do something very basic in the test environment that, without some training, could seem difficult or opaque (a lot like starting the airplane could seem impossible just because you don’t know the correct sequence of buttons to push after you turn the key).

Moving away from our metaphor for a moment, let’s go a step further with sandbox difficulties: other institutions who have tried doing a practice tenant have found issues in deciding how much data gets loaded into the sandbox. For the sandbox to be useful, a hefty amount of data has to be loaded into it, but obviously, it can’t be the data for the entire institution at that point. The limited data set is limited in its usefulness, especially at UVA, where the way we do business can be quite different from school to school and unit to unit. A subset of data in a UVA practice tenant simply wouldn’t be meaningful to most people.

Another consideration is time and effort, and where it makes most sense to place those. Ten months from go-live and eight months from training delivery, our teams are focused on getting the final version of UVA’s tenant of Workday Financials across the finish line. We’re choosing to give all of our time and effort to that goal, instead of standing up a practice tenant and supporting it.

Without a sandbox, how do we get comfortable with the system?

There are a few ways we’ll ensure the system and our stakeholders are ready to roll on day one:

  • The first one is actually already done (hooray for a box you can check right off the top!): our Customer Confirmation Sessions. In CCS#1 and #2, about seven to eight hundred stakeholders have gotten to see basic business processes in our Workday Financials tenant, and they’ve given feedback that we’ve acted on to improve each build.   • The second way is testing. In September, we’ll officially move out of Configuration & Prototype and into the Testing phase of the project. The FST team will be doing End-to-End testing (“end-to-end” means following a business process from its initiation until completion- such as following the entire procurement process from setting up a vendor to receiving and invoicing) until January 14 of 2022. Representatives from some schools and units will participate in this phase. We’ll refine the tenant based on this testing and then invite a wider group of representatives from the University to participate in user experience testing (think of this like sitting in the pilot’s seat of that plane while the pilot walks you through the process).   • The most important one is training. Training starts in the spring of 2022. Our training curriculum will be the result of months (years, really) of intensive work done by the training team, documenting change impacts, mapping roles, and working with both stakeholders and our project team. In our airplane metaphor, this is when we start flight school. We’ll have the months between spring and summer to explore in the system, learn how to do our work, and see our own data in a new environment.  Want to know more about Workday Financials training?  Start with this post in the blog

We feel confident that the plan between now and July of 2022 gives us plenty of runway (groan, sorry about overusing the metaphor) to get comfortable with Workday. We still want to hear your questions and concerns, though, so please reach out with your thoughts.

Project Timeline

 Finance Strategic Transformation is nearing the end of the configure and prototype phase.  We’re closing out a number of activities and getting ready to move forward with the testing phase.  The key activity our team is focused on at this moment is getting the next tenant of Workday Financials built and ready for the end-to-end testing that will kick off in September. The end-to-end tenant, as we’re calling this latest build of Workday Financials, will incorporate changes based on insights gained from the second round of Customer Confirmation sessions and other work in the configuration tenant.  End to end testing kicks off on September 1 and will continue through January 14 of 2022.

FDM Updates

Other things keeping the FST team busy these days include pursuing other great transformation activities including getting underway with FDM mapping activities.  Mapping leads from each school and unit will have a kickoff workshop next week to get that process underway.

As we work toward the go-live of July 1, 2022, we’ll have a time of frost and freeze.  Frost is when the velocity of change slows down and people commit to their FDM values.  Changes aren’t impossible at this point, but they’ll be slowed down significantly. Freeze is a timeframe that comes after frost, when there are no more FDM changes because the data will be in the process of being loaded into the UVA tenant of Workday Financials that we’ll use at go-live.

Five Things to Know about FST: July 29, 2021

1.  Next week, mapping leads from each school and unit will take part in a kickoff event with the FST team to get the FDM Mapping work underway.  Read more about the start of mapping.

2.  As we work toward go-live, FDM activities will have a time of both frost and freeze:  frost is when changes to FDM values slow down, and freeze is a time period where no more changes can be made because the data will be being loaded into the UVA  tenant of Workday Financials.  Read more here.

3.  The FST team is busy getting the next tenant of Workday Financials built and ready for end-to-end testing, which kicks off on September 1 and continues through January 14.  Read more about the testing phase.

4.  FST is more than just a tech implementation!  Besides implementing Workday Financials and Adaptive Planning, there are also lots of other continuous improvements going on.  Check out our third installment of transformations in progress on the blog.

5. As we wrap up the Configuration & Prototype phase of the FST project, we're excited to get a version of the tenant ready that reflects insight from the second round of Customer Confirmation Sessions.  It's a big step toward go-live in July of 2022!

Cool Off: Understanding FDM Frost and Freeze Terminology

If you've been in a meeting with discussion of Foundation Data Model (FDM) timelines, you've probably heard the terms frost and freeze mentioned. They are part of the progression of activities taking place as we near the Workday Financials go-live date of July 1, 2022. 

So what do they mean and how do they differ?

Frost

When we frost mapping activities, the velocity of change really slows down. People will be getting committed to their FDM values and starting to do their conversions. So at that point, while changes aren't off the table completely, wholesale alterations like those that have been happening for months prior will be slowed down significantly. Some changes can continue if needed. For example, if a new gift came in during the frost period, the project team would map that, as you would want to recognize the gift in the current year. Just like in nature, the frost sends signals that it's time to slow down and prepare to go dormant. 

Freeze

The freeze, therefore, is that time of dormancy. When activities are frozen, it means there will be no more FDM changes because the data will start being loaded into the UVA tenant that we will use at go-live. That necessitates that the data stop moving for a while. 

The frost and freeze periods don't mean that changes can't happen in the future, after go-live, but they are necessary to help us prepare the tenant to be ready for use on July 1.
