FST: What's next as 2019 begins

FST Accomplishments

We crossed a few key hurdles in 2018's Finance Strategic Transformation Phase 1 Planning Stage.

Our biggest accomplishment is that we completed the current state review. Approximately 150 people from across UVA participated in a variety of workshops focused on gathering insight on our current processes, top areas for improvement, and a vision for how Finance should work in the future.

Part of this process included gathering the unique functional requirements that we would need from a financial system in order to serve our needs, and comparing those requirements with the capabilities of Workday Financials.

Looking Ahead

Phase 1, the Assessment and Planning Phase, is on track to finish by the end of March.

During this time, we're planning to take the information we have gathered and develop a transformation roadmap that lays out the recommended path for Finance Strategic Transformation. We'll also prepare a Total Cost of Ownership for both the near and long term.

We will also pull a number of university leaders together for a Vision and Goals Alignment workshop. Before this workshop, we will survey and interview leaders from the schools, colleges, and units, then get this group together with a facilitator to solidify the group's aims and commitment to making the vision a reality.

Budgeting and Planning Pilots
During the summer of 2019, the College of Arts & Sciences and the Curry School of Education will do a pilot of Adaptive Insights, a budgeting and planning application that was recently acquired by Workday. As the School of Medicine has already implemented Anaplan, we will have solid experiences to compare and contrast between the applications to inform decisions for all of UVA. Watch for more on this!

Introducing the UVAFinance Book Nook


UVAFinance team members are welcome to check out professional and personal development books from the UVAFinance book nook. Suggested by UVAFinance team members, these books represent a variety of topics such as leadership, time management, dealing with change, the power of privilege in society, organizational skills, and more.

The Book Nook rules are:
  • Check out one book at a time. 
  • Don't remove a book from the cafe area without properly checking it out (it will only take you a few seconds to fill out the checkout sheet near the bookshelf).
  • Books may be checked out for two weeks at a time. After that, if you need more time, just renew it by checking it out again.
  • Book checkout is reserved for UVAFinance employees, but anyone is free to enjoy the books in the cafe area.

UVA Recycling’s Reusable Office Supply Exchange (ROSE) Program stocks a number of office products from across Grounds that are gently or never before used. 
In the interest of reducing purchases and reusing materials, all items are offered for free to UVA staff, faculty, students and community members. ROSE has an abundance of binders, hanging folders, and desk organizers; please call ahead if you’re looking for something specific.

Update on LD data issue

Position and assignment updates impacting pay for the academic division biweekly pay period ending January 6, 2019, should now be available in the LD module.

Please review your LD schedules for the pay period ending January 6 and make any necessary adjustments by close of business on Friday, January 18. As you review, pay special attention to individuals receiving Goal Pays ("Period Activity Pay" in Workday). The GA/GL will be updated on Monday, January 21, with data reflected in UBI by Tuesday, January 22.

Note: Please access this resource on the FOC website for instructions on the new report available in the LD module that shows active assignments for an individual (navigate to the section entitled "View UV LD Assignment Crosswalk Report for LD Schedules").

If changes you previously processed in Oracle or Workday are not reflected in the LD module, or if you are not able to access other information you need to perform your work, please contact the HR Solution Center at askhr@virginia.edu or 434-243-3344.

Updates impacting the academic biweekly pay period ending January 20, 2019, as well as future-dated actions are also in process and are expected to be complete by January 20.

New on Finance Matters: Bridging the Generation Gap in the Workplace

Lisa Harris, Senior Learning and Development Consultant with UVA's Talent Development unit, joins Patty and Brandi to talk about how members of our multigenerational workforce can learn from one another and find common ground and strength in their differences.

UVAFinance team members are invited to a Personal Wellness Expo on February 19, from 1:30 - 3:30 PM, in Carr-1 & 2.  The Expo will feature a variety of wellness topics presented from groups on Grounds.  Make plans to join us now -- we'll be sharing lots more information soon on this event!

Keep up with employee time, monitor your leave balances, and more with the Workday app.  It's just as intuitive as the desktop version and allows you to attend to housekeeping duties with a tap here and a tap there.

Park in the Upper North Lot? Use the Stairs, please!

When making your way down the hill from your parking spot, please use the stairs between the upper and lower north lots. Choosing the stairs may (or may not, depending on your spot) add a few steps to your day, but it will definitely keep you safer than walking down the hill.

LD data issue in Workday

We have discovered that the "catchup" data after the November 30 cutover from Oracle has not completely loaded. New assignments created in Workday have not pushed correctly to Oracle so you may not see assignments you would expect to see in LD.

The Enterprise Application team will be working to fix this today and over the weekend, and we expect that by early next week, all data should be updated and correct.

Watch for an email next week with an update on this situation.

I am very excited to announce the second cohort of "Analytics for Finance Professionals”!

For our team to be a valued and trusted financial partner and for all of us to be prepared for a future workplace, we must be able to provide insights and information to our partners and stakeholders that helps to inform their business decisions. As a result, UVAFinance has partnered with the School of Continuing and Professional Studies and participants in the Cornerstone Program to develop a 4-day course to help you learn how to use data to advise and influence your stakeholders.

The ability to incorporate business analytics in your daily work is essential to providing valuable analysis and insight, automating and optimizing business processes, and preparing for Finance Strategic Transformation. Successful business analytics depends on an organizational commitment to data-driven decision-making, data quality, and skilled analysts who understand the technologies and the business. This course will help you become one of these skilled analysts, at just the right time as we begin to review our current business processes.

At the conclusion of the course, participants will receive a UVA-recognized certificate of completion.

As this message stated, there are a few general sessions being offered in various locations across Grounds (more info and registration can be found HERE).

For those who cannot make it to one of those sessions or would prefer to attend a shorter session in Carruthers Hall, I have arranged two additional opportunities to participate in defining a shared vision for the future of the University. To be a part of this, register for one of the sessions below!
