UBI User Hub Becomes UBI Portal

The UBI User Hub is now the UBI Portal, featuring upgrades to both usability and functionality.

This new name reflects the module's purpose, an entry to UBI Reporting and Analytics, and reduces confusion with UBI Analytics Qlik Sense Hub.

In this new UBI Portal, you'll be able to do many of the same things as before, including:
  • Explore and access UBI apps and modules
  • Find which fields are present in what UBI modules
  • View the access roles required for each app
  • See the latest reload timestamp for any app and see important alerts for the UBI reload process in general.
In the new UBI Portal, you’ll also be able to:
  • View approved data definitions from the Data Catalog, which replaced Data Cookbook
  • See if UBI fields have an associated data definition
  • View your current UBI access roles
We look forward to sharing this revamped UBI portal with you. You can access it here.

Need help?

We’ve developed a quick reference guide for the UBI Portal and posted it on the Data and Analytics Community Teams site. If you’re already a member you can access the guide directly via this link or in the resources channel under the files tab.

If you’re not yet a member of the Data and Analytics Teams, you can join by:
  • Open Microsoft Teams.
  • Click the Teams icon on the left-hand side of the window.
  • Click Join or Create a team (at the very bottom of the screen).
  • In the Join a team with a code box, enter this code: 7g617dn
If you are a Heath Center or UPG employee, the code will not work. You’ll need to email the UBI Team to request access to the Team. Once you’ve been granted access, be sure to use your @virginia.edu account to log on to the Team.

Did You See This? Reporting & Analytics Updates

A new set of Finance Reporting & Analytics Release notes were posted on July 13. 

Here are just a few noteworthy highlights:
  • Activity Stream has been added to the Details for Account Certifications report to streamline the review of account certifications – see Activity Stream | UVA Finance (virginia.edu) for more information about this new feature.
  • New Open Purchase Orders – Fully Invoice and Fully Paid report to quickly identify candidates for closing out open purchase orders which are complete.
  • New & Improved Track Purchase Order with Line Splits report which provides greater detail and improved usability over the existing Track Purchase Order report (includes line splits). Various
  • Grant/Award Budget vs Actuals reports have been updated so that Transfers and Interest Income transactions are included
  • Reminder: The Budget & Fund Balance reports in Workday generally default to the current fiscal period/year so be sure to update the prompts if you need to look backward.

Finance Reporting and Analytics Release Notes for July 13th

Finance Reporting & Analytics Release notes for July 13 have been posted to the UVAFinance website.

This update includes significant new reports and modifications that have been released between May 22nd and June 30th as well as known issues that we are investigating or working on currently.

Thank you all for your patience as we worked through a few unexpected glitches as we rolled over fiscal years for the first time in Workday and the data warehouse. The data warehouse team, UBI team, and the Finance BI team reacted quickly to resolve the data load errors that occurred during the first couple of days of the new year. We will apply the lessons learned to strengthen the processes for next year.

For those interested, our Journal Lines table in the warehouse currently has 64,000,000 rows of data. Over the coming weeks and months, we will be evaluating the UBI applications to optimize performance where necessary which may require some changes to manage the data volumes. We will keep everyone posted as we make those decisions.

For those who use Budget or Fund Balance reports in Workday, please make note of the Period, Time Period, Plan Structure, Plan Name, and Budget Date prompts you are using based on your need to either look back at FY23 or forward to FY24. Most reports are set to prepopulate those prompts for the current period/fiscal year.

FY24 Working and Original Budgets are now available in both Workday and UBI Budget vs Actuals.

The release notes featured some great new reports, including these new Account Certification Reports:

The Online Community's Sun Has Set: Here's where your Resources Live

The Online Community, or CommunityHub, is a fond memory at this point, having sunset on April 19.  If you find yourself missing something you used to access there, here's where it landed:

Much of the Finance content on CommunityHub was FST-related and has been archived. Content that was still relevant to the work we do, such as information related to the FDM, it has been moved to the appropriate area on the UVAFinance website. If you find yourself in need of something and you can't find it on the website, email askfinance@virginia.edu and ask for your case to be sent to Brandi Van Ormer.

UBI Content

UBI users have a new interactive space in Teams that features the core components you've come to enjoy in CommunityHub, including resources, and a place to ask questions about UBI, UBI training, and news. This space is called the Data and Analytics Community. Just ask to join this community in teams to begin using this space.

Continuous Improvement Content

We had a thriving Continuous Improvement space on CommunityHub. Those resources have been moved to the UVAFinance website. You'll find resources for managers, CI tips & tricks, Lean Training, videos, and more. We'll add to this site continuously, so check back frequently (or just watch for updates in the blog). Have a CI resource or idea you want to share? Feel free to send it along!

Did You See This? Reporting & Analytics Release Notes for April

A new set of Finance Reporting & Analytics Release notes were posted on April 10.  Did you miss them?  You can see the whole release online here.  There were lots of goodies in this month's notes! 

There were so many updates and new things, in fact, that you may have missed:

  • The Research Administration Dashboard is now accessible to principal investigators.
  • There's a new report in Workday that gives a managerial summary of current and projected fund balances for the Academic Division.
  • The Worker Costing Allocation Information report in Workday now pulls position restriction (labor suspense) costing allocations
  • UBI now has a Workday NACUBO Function Analysis app that allows you to compare Function Worktag usage between FY23 and Workday and FY22 in Oracle for reviewing the correct and accurate use of the Function Worktag.

Reporting & Analytics Release Notes April 10

 Finance Reporting & Analytics Release notes for April 10 have been posted to the UVAFinance website.  This update includes significant new reports and modifications that have been released since March 9th as well as known issues that we are investigating or working on currently. 

This was a BIG month with lots of new reports and updates to pre-existing reports.

 Some highlights of note:

Fund Balance by Major Business Unit: A new report in Workday that gives a managerial summary of current and projected fund balances for the Academic division.  Worktag prompts can be used to highlight specific funds, gifts, grants, or designated worktags.  Balances can be drilled into for further analysis.

 Worker Costing Allocation Information: 

  • This Workday Payroll Report now pulls Position Restriction (labor suspense) costing allocations in for greater visibility into allocations that exist for a single Worker.
  • Positions without costing allocations can now be pulled in this report, eliminating the need to remember the name of multiple reports.
  • Outdated/unnecessary costing allocation reports have now been hidden so there will be fewer reports returned in search results, providing users with more confidence that they have selected the right report.

Workday NACUBO Function Analysis: New in UBI!
Workday Research Admin Dashboard (RAD)
  • Added a new Home Page and navigation buttons for an improved user experience
  • Improved the layout/UI of the Grant Summary page
  • New views of Project to Date, FYTD, and Future Spending by Fiscal Period as well as Burn Rates and Spending Forecasts
  • Added Grant Invoice History
  • Organization page with contact information and hierarchies for key personnel
  • Definitions sheet to clarify the metrics used in RAD
  • Direct Access is now available for PIs – QRGs and formal launch materials under development

Quick Tip of the Month:  Saved Filters (Workday) and Bookmarks (UBI) – remember that if you regularly the same report with the same filter(s) for CC, Grants, or other worktags, you can save your filters using the Saved Filters option in Workday or using Bookmarks in UBI. Bookmarks in UBI can be shared, and Saved Filters in Workday cannot. As a best practice, you should leave the Period prompt empty when you save since you will likely need to update that from month to month anyway. Directions on how to use Saved Filters and Bookmarks can be found in the Reporting Training Resources.

Research Administrative Dashboard 3.0 illustrates great collaboration across Grounds

One of the most well-loved and useful UBI modules for UVA researchers and research administrators has long been the Research Administrative Dashboard or RAD module.  With its ability to give clear grant and post-award insights, it's easy to see why everyone thought it was, well, pretty rad.  

After Workday Financials went live in July 2022, the Business Intelligence & Data Analytics Team went to work quickly to reassemble the dashboard, this time pulling the necessary data from Workday Financials.  They collaborated with the Enterprise Data Warehouse Team and the University Business Intelligence Team to get the data they needed and build the dashboard.

"We knew the need for the RAD Dashboard would come up quickly," says Bradley Kurtz, senior finance data and tech analyst and primary developer on the project.  As soon as Workday Financials had enough financial data in the system to work with after go-live, Kurtz, along with a broad group of grant administrators across Grounds, began working on translating the needs of principal investigators into a new, improved version of RAD, one iterative version at a time.

As Kurtz points out, the data model for the RAD Dashboard itself is relatively simple, but it pulls in huge amounts of data from a variety of sources and requires a tremendous amount of thought from a wide array of UVA research administrators, working closely with their respective PIs, to build something that allows for meaningful comparison and self-sufficiency.

The first iteration post-go-live was made available this past autumn, to much excitement from the research community.  RAD 2.0 provided insight into award spending vs. budget, which was a big first step, just getting the Qlik app to pull journal lines from the new system.

RAD 3.0, released just this past Thursday, February 16, takes a further step toward complete award visibility by offering FA spending vs. obligations.  Kurtz explains that in this latest iteration, the app allows users to see how much money they have consumed at a given point in time, and how much money and time they have left, essential in order for them not to overspend on their grant.

Crystal Lamm, a unit administrator in Biomedical Engineering, affirms that RAD 3.0 should go a long way toward providing useful information for administrators and faculty. 

"Faculty have been struggling to get a handle on their grant financials since the implementation of the new systems and with RAD, we've put something in place that's going to be so helpful, and that means a lot to me," she says.

While RAD 3.0 offers significant improvements upon the offerings of RAD 2.0, PIs and administrators can be assured that more radical leaps are in the works.  Kurtz and his group of collaborators are keeping at it, with a goal of pulling graduate assistant data from SAFM, so that FA data can be figured in for student workers, as well as getting data from Research UVA powered by Huron.  

"Getting Huron in the loop means that we'll have the entire life cycle, from requesting the award, working through OSP, through the closure of the award, to when the award has been finalized, all as a 360-degree view in the RAD dashboard, with flexible filters, searchable, and with calculations on budget vs. actuals," says Kurtz.  He adds that the team is also planning to include data on clinical trials in the next iteration of RAD.

Gina Correll of the Biocomplexity Institute has been part of the group working closely with Kurtz on RAD and says she has received rave reviews on the dashboard from faculty in her area.  

"Previously, the data wasn't as immediate and dynamic, but now they can get the different elements they need, and it can be as detailed or as general as they require," she says.  She has found the collaborative effort between administrators and the data analytics team quite rewarding, because of how the feedback they share gets put to use.

"It's a challenging time when you change systems," she says, "but the analytics team really listened to our feedback and we've seen the tool evolve.  They don't wait until it's perfect to make something that's useful available.  They put it out there, get feedback, and then make it even better."

Speaking for the data analytics team, Kurtz says the great feedback has indeed been important.  "OSP and the grant administrators have all just dove in and worked with their PIs to get great feedback," he says.

At the end of the day, Lamm sums it up best:  "You want to feel like what you're doing is helpful, and this is one of those projects I know will make a difference to the University."

Reporting & Analytics Highlights

The Reporting & Analytics Team recently shared their release notes for January 12.  

While we've already included that as a news item in the blog, we wanted to call your attention to two particular points of interest in the notes:

  • The UBI Workday Fund Balance App is now available; use it to see Fund Balances by Ledger or Fund Balances by Fund sheet to see which ledger accounts and/or fund accounts are included in the Expendable Fund Balance rollup
  • New Workday Report "Project Funding Source" shows Funding Sources with dates, worktags, funding amount, and available balances

Finance Reporting and Analytics Release Notes for October 28th. This update includes significant new reports and modifications that have been released from October 11th to October 28th as well as known issues that we are investigating or working on currently.

Reporting FAQ 

Our Reporting User Group recently completed a Reporting FAQ called "A Day in the Life of A Fiscal Administrator" to help you find recommended reports for common tasks and data needs. We have also worked to reduce the number of reports on the "Fiscal Administrator Spotlight Reports" from over 100 reports to just 36 targeted reports. If you don't find what you are looking for, you can always use the various functional spotlight reports - just search "Spotlight" in the Workday search bar.

Research Administration Dashboard (RAD) 2.0

In other exciting news, RAD 2.0 will be launched in UBI by the end of day on October 31st - just search the UBI Hub for "Workday RAD". The Workday RAD app in UBI is designed to provide a one-stop shop for your Grant and Post-Award financial needs.

A big shoutout to the primary developer, Brad Kurtz, on our Finance BI team and contributors Crystal Lamm, Jingyi Fan, Beth Beal, Lena DeLiso, Sherry Fitzgerald, Beth Grimm, Tara Herring, Helen Norfleet-Shiflett, Jennifer Horton, Carey Reinicke, Mandy Wyant, Amanda Doherty, Gina Corell and others for all their help and input.

Taking New Approaches

The first couple months of go-live with Workday Financials has been busy for the entire team. From answering questions and troubleshooting to developing new training and getting information to the website, it is a steady stream of information across Grounds. New data coming into UVAFinance is at a new level and team members are adjusting.

"The volume of data entering the data warehouse seems to be at least three times greater than we received from Oracle," says Forrest Swope, Director of Data Operations.

Swope reports that the number of journal lines created when payroll is run generates a file too large to move. That's a lot of data!

"We devised a method to overcome these limitations - which is inelegant, but effective," he says.


While his team routinely checks the results of the nightly processing, it proved challenging to confirm
that they were certain they were receiving all of the lines using just Journal Lines data from Workday as a validation.

"After the end of July, we were able to run a Trial Balance in Workday for the entire month and compare the results (Beginning Balance: Changes during July: Ending Balance) to precisely tie out the total of all transactions by Company and Ledger Account to the Journal Lines data collected in the Data Warehouse," shares Swope.

The results of this new assessment have proved successful as Swope reports, "Across six companies with over six million posted transactions, totaling $9 billion we were off by exactly $0.00."

UBI and Adaptive Planning: How should each system be used?

There is some confusion around data found in UBI and Adaptive Planning. Sometimes the numbers in each system don’t match up, so people are wondering what the source of truth should be when this happens and if there is any value in trying to reconcile the numbers.

Some design differences in the way the UFM model and the BBA reports treat some items have always been present. For example, the Sources/Uses format moves F&A expenses up to offset Grants & Contracts revenue rather than showing it as an expense.  When it comes to Adaptive Planning and UBI, the differences come down to how the systems are used and when they are updated.

Adaptive Planning (how it is currently configured for Fiscal Year 2022) should be used for comparing actuals to the Board of Visitors approved budget or Working Budget. Actuals are loaded into the system after each month-end close (usually the 2nd or 3rd of the following month).

UBI, however, should be used for budgets to actuals (BBA) reporting when comparing actuals to updated info in BudgetUVA throughout the month. Actuals and budget information are updated nightly.  Since UBI is the only system that includes all centrally approved budget adjustments to institutionally owned awards (SG, LG, FI, SU, EI, DI, LC), the BBA report is considered the correct budget to actuals report for institutionally owned awards for FY22. The budgets in the BBA reflect the Board of Visitors approved budget plus all centrally approved adjustments to institutional awards (via BudgetUVA), so it is the correct base budget for all institutionally owned awards.

Though these systems have different uses, if schools/units are updating their Working Budget in Adaptive to coincide with BudgetUVA updates, the budget in both systems should typically be in sync.  Since Adaptive reports for FY22 do not automatically include adjustments, including centrally approved budget adjustments to institutionally owned awards, it is incumbent on units who wish to report out of the Adaptive working budget to ensure their working budget balances to the budget totals reflected in the BBA for all awards. 

Please note, now that the University is using Adaptive for the budget process, some minor differences may come up because of challenges in keeping mapping rules and code in sync between Adaptive and UBI.  Currently, the focus is on getting Adaptive ready to integrate with Workday Financials.

Reporting and Analytics Update: UBI and future-state reporting

 We talked a bit about our use of UBI in the future state (read that article here).  Basically, we'll still use UBI, but much less than we do today.  Let's delve into that a little more!

Here are some sample data and analytics use cases to give you a clearer picture of what enterprise systems we'll use for reporting and analytics  in the future state: 

  • Managing operational transactions on a daily basis:  today this is done in UBI; in the future, it will be done in Workday reports
  • Checking spending and commitments against a budget or forecast:  today this is done in UBI; in the future, it will be done in Workday reports
  • Managing the financial or operational performance of a team or department:  today this is done in UBI or Qlik3; in the future, it will be done in Workday reports and/or dashboards
  • Getting a high-level overview of the financial and operational performance of a school or unit:  Today this is done via supplemental systems, or Excel, using data from UBI; in the future, this may be done in Workday reports, Workday dashboards, and Adaptive Planning.
  • Performing ad hoc analysis to support a recommendation or answer a question:  today this is done in UBI, Qlik3, or Excel; in the future, this will likely be done in Workday Analytics.
  • Accessing historical financial data (pre-Workday) to respond to a request for information from an internal or external entity:  today this is done in UBI and Qlik3; in the future, you will still use UBI.
  • Reviewing year-to-date UFM results against budget, forecast, or prior year:  today this is done in supplemental systems, or Excel, using data from UBI; in the future, this will be done in Adaptive Planning.
  • Combining Workday financial data with additional data from a supporting system: today this is done in supplemental systems, or Excel, using data from UBI; in the future, we may utilize Workday worksheets, Prism, EDW/UBI (depending on the case).
  • Accessing data to report to external agencies annually:  today this is done in UBI or Qlik3; in the future, it may be done in Workday or UBI (depending on the case).
  • Extracting large datasets (i.e., journal lines) for analysis in Excel or other tools:  today this is done in UBI or Qlik3; in the future, it will likely be done in UBI.

What about UBI?

 As we get closer toward the go-live date of Workday Financials in July of 2022 (how much closer?  Check out the countdown timer feature on the FST webpage), a reporting and analytics question keeps coming up:  What about UBI?  Will we use UBI in the future state, after Workday Financials is implemented?

The simple answer:  Maybe.

To delve in a little further, UBI will not go away, but Workday will replace it as your go-to source for financial reporting and analysis. 

Your use of UBI will be much less than current state use, for sure.  Day-to-day finance reporting will be done in Workday, but UBI modules and reports can be used when you need to look up data from prior to July 1, 2022.  UBI will continue to be the reporting tool for student finance and student records, and it will be a repository for extracting large volume data sets for analysis.  It may also be used for some specialized financial reporting or unusual use cases that cannot be met in Workday.

Former Bridge-Building Competitor, Bradley Kurtz, Returns to UVA in Business Intelligence

   

New to UVA, Bradley Kurtz was excited for the opportunity to learn more about the financial side of a university. He was also interested in the chance to help implement Workday and to “then leverage the project to improve the transparency and availability of information using business intelligence.”

In his position, he will work with Mark Anderson on business intelligence strategy and projects. His primary focus will be “the use of business intelligence tools to deliver information value from the data collected.” Also, he enjoys process mapping and business process re-engineering, and he hopes there will be some opportunities for him in these areas.

When he’s not working on business intelligence projects, Kurtz enjoys golfing, biking, gardening, and fishing. When able to travel, he and his wife, Anita, like to visit their two daughters in Connecticut and South Carolina.

Another fun fact about Kurtz: the last time he was on UVA Grounds, he was in 11th grade and participating in a bridge-building competition! Now that he has returned as a staff member, he likes what he’s seen so far and is ready for more.
