2024 Payroll Calendars are Posted


Every new year comes with fresh new calendars, and fiscal new years are no different.

Best Practices in Payroll Costing: Worker Position & Worker Position Earning

The payroll costing allocation categories "Worker Position" and "Worker Position Earning" are very different and not interchangeable.  In general, "Worker Position" is the category most of us will use most often.  "Worker Position" represents the standard pay, benefits, etc. that are applied to most regular positions.

Assigning a "Worker Position Earning" costing allocation should only be done for pay categories that will be accounted for on a different worktag string than their "Worker Position" costing allocation (such as Short-Term Disability, Long-Term Disability, Retention Bonuses, etc.). If the accounting falls on the same worktag string as was set up on the "Worker Position" costing allocation, there is no need to add it into a "Working Position Earning" costing allocation.

Requesting Payroll Accounting Adjustments through Workday

Workday's request business process is now the one-stop-shop method to request Payroll Accounting Adjustments for UPG, the Medical Center, yourself, or an employee who has been terminated or transferred out of your area.  Previously, this would have been done via a variety of methods depending on your need, but now, due to the new Workday functionality, it can be handled one consistent way.  

(Note that Payroll Accounting Adjustment Specialists in schools and units can still process PAAs as usual.)

Ask Finance & Ask HR: Working Together on Your Payroll Questions

This July, the Finance Solution Center will take over payroll inquiries from the HR Solution Center.  As you might imagine, payroll falls into a grey area between finance and HR.  

Generally speaking, if it's a money question (things like the numbers on your pay slip, your W2, your W4, etc.), it's a finance question, and if it's a benefits matter (things like insurance and PTO), it's an HR question.  

The good news is, you don't have to worry about going to the right Solution Center.  Ask Finance and Ask HR will work together behind the scenes to get your query to the right person no matter what!

UVAFinance Welcomes Alicia Mellenthin to Payroll Services

Alicia Mellenthin and payroll go way back . . . all the way back, in fact, to when she was 14 years old, doing the payroll for her parents' taxicab company in Dubuque, Iowa (fun fact:  she also did dispatching and drove a bit when she was older).

"I've been doing payroll so long it's become second nature," says Mellenthin.

This March, Mellenthin brought her wealth of skills and experience in the industry to UVA as she took up a position as a Senior Compliance Analyst.  In her position, she'll be working specifically with payroll taxes, a role with an analytical bent that appeals to her. 

Mellenthin, a certified payroll professional, comes to UVA most recently from the private sector in the Cedar Rapids area, where she still resides.  She got the jump on most of us and began working remotely about a decade ago when her husband needed to relocate for work and her employer offered her a remote position to keep her. 

"I'm a disciplined person, so working remotely isn't a problem for me.  I knew when I saw this position on a job board that I was very interested in the work and I'd enjoy it," she says. 

She notes it's been interesting onboarding in a new role, but having Zoom and Teams has made the process a lot easier, and her team in UVAFinance has been welcoming and helpful.  

We're grateful to have Mellenthin's 30-plus years of experience in payroll. When she's not working, she and her husband enjoy the great outdoors, particularly water-based activities such as tubing and boating.  She has four grown children and two grandkids on the way.

Payroll Getting the Job Done: Resources, Teamwork

Most of us across Grounds receive our pay every two weeks – a solid schedule with an understood deadline. But for those working in Payroll, pay deadlines are weekly and they are never the same. With adjustments to pay due to items such as faculty awards, CVC deductions, changing work schedules, new hires, retirements, time off payouts, and more, no week looks just like the next.

Managing deadlines for the Medical Center, Physicians Group, and UVA Academics, Payroll never shuts down, not even when the university closes for winter break.

So how do they manage so many deadlines in a tight timeframe?

A representative from Payroll shares that it is all about good project management and using available resources.

The staff are split into team areas and designate work in shifts. For instance, as many of us were enjoying our time off, Payroll teams split work into four-hour shifts to monitor incoming data and requests and ensure tasks are completed and employees are paid.

Payroll receives data from multiple sources – from Workday to Kronos to email. Streamlining how they respond to changes in data is important, so they use Salesforce to track all incoming inquiries. The inquiries are either handled immediately or assigned and each one is tracked to ensure it is resolved.

Workday’s Worksheets is a great tool for Payroll as they can collaborate around live data, and where all the data resides in a secure, enterprise environment. They use the Worksheets to for data entry and check it against their work in Salesforce. This provides organization and informs their process.

The teams stay in contact through Microsoft Teams channels and help each other out so that work gets done quickly and efficiently and ultimately, so important pay deadlines are met.

So even though each week looks vastly different than the previous one, collaborative processes and cloud-based technology keep the Payroll team moving forward with some of the most important systems on Grounds.

W-4 Form Update Reminder

As the new year approaches, the Payroll Department reminds you to review your Federal tax withholding. You may need to submit a new W-4 form if you have experienced any changes in your filing situation this year (e.g., got married, have a secondary source of income, have new dependents, etc.).

You can update your W-4 Form any time in Workday by typing ‘Withholding Elections’ in the search bar at the top of your Workday home screen.

Workday Finance Cutover & Entering Time for Payroll


Workday Financials launches July 5, 2022, a little over a month from now.  Between now and then, both the FST project team and finance personnel in schools and units will be working carefully on the process of cutover from Oracle to Workday. 
You can find all cutover deadlines here.

UVA Payroll will of course ensure that all employees are paid during the cutover, but deadlines for time entry will be earlier than usual.



Medical Center & UPG bi-weekly payroll
  • Deadlines for the MC/UPG bi-weekly payroll 07/01 check date, must be adhered to.
  • The week of 6/27, the Payroll Department will be unable to process any late timecards or manual adjustments. We are completing the 7/1 payroll in a single day.
  • Any missed time will be processed on the next regular payroll.
  • Off-cycle payments will not process until the week of 07/11.

Academic Division bi-weekly payroll
  • For the Academic Division's bi-weekly pay period end 7/3 (check date 07/08), all standard time entry deadlines will be followed. Employees should enter all hours by the end of their last day worked in the pay period and submit their time for approval.
  • The week of July 4, Payroll will be unable to process any late timecards or adjustments.
  • Any missed time will be processed on the next regular payroll.
  • Off-cycle payments will not process until the week of 07/11

Payroll Services Welcomes Carlos Rodriguez

Carlos Rodriguez is no stranger to new beginnings.  

On the UVA Payroll team for just about a week, the Payroll Cost Allocation Analyst likes to be a driving force behind building things, whether that's in the form of teams or businesses.  He has not only built a successful career in payroll services at such organizations as PayPal, Intel, and ADP, but also, he has started up three businesses of his own.

His most recent new role gives him an opportunity to be involved in higher education, something he'd had his eye on for quite some time.

"My mother worked for the University of Central Florida for fifteen years, and she always wanted me to be a part of that.  And one of my own passions is helping others achieve their goals and helping make things happen, so it's a great choice for me," he says.

Rodriguez has both a bachelor's and a master's degree from the University of Central Florida, is Lean Six Sigma Green Belt certified, and holds a Project Management Professional certification.

When he isn't absorbed with his professional pursuits, Rodriguez enjoys riding motorcycles, spending time with his three dogs (Thor, Captain, and Mila), and most of all, traveling with his partner Andrea.

"My time in the military introduced me to travel, and I've really never stopped.  I like seeing new places, meeting new people, and eating new foods," he says.  "When Andrea and I travel together, we enjoy branching out and going behind the scenes to immerse ourselves in the culture of the places we visit and making connections with people."

2021 W-2s are available online

2021 W-2 forms are available now in Workday:  Just click the "My Pay" icon, then choose "My Tax Documents." 

If you did not opt-in for an electronic copy, your paper W-2 will be mailed before January 31.  Here's how to opt-in for an electronic W-2 for the future.

Have you signed up to receive your W-2 electronically?

Before we know it, tax season will be here (sorry for the reminder!).

If you receive a paper copy of your W-2, it will be mailed to you by January 31, 2022.  You can, however, simply go into Workday and opt-out of the print copy and just access your electronic copy in the system.

Time Submission Guidelines for the Upcoming Holiday

Please remember that Monday, July 5, is a University Holiday. Academic Bi-weekly timecard deadlines remain the same; non-exempt employees need to submit their timecard no lager than 2:00 pm on July 5.



We encourage employees to submit their time early if possible, such as at the end of the last worked shift of the pay period. This will expedite the process for managers who must have all time approved by 4:00 pm on Monday, July 5.

Monday, March 29, 2021 is a University holiday (Spring Break Day).

December 16 payroll deadline

University closures over the holiday season impact the deadlines by which employees must enter their time/absence data.

For the December 7 – December 20 pay period, time needs to be entered by December 16 at 5pm.

The time for December 17 – 20 should be estimated. Any corrections to estimated time can be made as a retroactive change in Workday after December 24, 2020, to be reflected in the January 8, 2021 pay.

Managers, please note that you will have until 11:00am on Thursday, December 17th to approve time.

Holiday Payroll Deadlines



University closures over the holiday season require changes to the time/absence and data entry deadlines as follows:

Academic Divison
  • Monthly payroll for pay date 12/1/2020: Time entry deadline is November 19. 
  • Bi-Weekly payroll for paydate 12/24/2020: Time entry for December 17 – December 20 should be estimated and entered by December 16 at 5pm

University Physician's Group 
  • Monthly payroll for pay date 12/1/2020: Data entry deadline is November 19th. 
  • Monthly payroll for pay date 12/31/2020: Deadline for any retroactive actions and current period data is December 17.

My Pay Dashboard in Workday



My Pay Dashboard is now available for you in Workday! This new feature replaces the current “My Pay” app on your Workday home screen. The dashboard has been arranged to provide you with visibility into and more clarity around of all of your pay items. You’ll also benefit from insightful pay-related reports and simplified navigation for making updates on things like tax withholding and direct deposit information.
