Track your SWaM Spending through new PSDS app in UBI

Supplier Diversity is pleased to announce the availability of its Inclusive Excellence Reporting Dashboard in UBI.  

Features of this dashboard include the ability to:

  • View spending history over the past three fiscal years with suppliers by SWaM (Small, Woman, and Minority-owned) or Local Business type.
  • Search for SWaM-certified or Local suppliers used by department, expenditure type, or SWaM certification type.
  • Benchmark your VP Organization’s or department’s spending with SWaM businesses against similar organizations or departments.
  • Explore SWaM suppliers to find sources for upcoming business needs. 

How to access the dashboard:
  • Login to UBI Analytics by clicking the link under “UBI QlikSense Hub:”https://ubi.virginia.edu/ubi-logon-0
  • From the UBI Analytics landing page select “Finance” on the left-hand side of the screen. 
  • Select “Supplier Diversity Inclusive Excellence Reporting.”
  • Select “Analyze Sheet” at the top of the screen.

Navigating the dashboard 

There are five sheets in the dashboard. 

  1. “About”: Includes contact information, version history, and weblinks to the UBI Community, UVA Finance, and Virginia SBSD webpage (which the includes the SWaM-certified supplier database, as state agency spending metrics and the information for suppliers to to apply for SWaM certification). 

  • Use this sheet to learn about changes to the dashboard, if you need technical help with the dashboard, or if you want to contact someone in supplier diversity for additional information.  

 

  1. “Show Me How I’m Spending”Total payments, number of SWaM, Local, and Non-SWaM suppliers used, a map of supplier locations, and payment details with supplier location information.  

  • Use this sheet to understand more about where suppliers are located, how much the University spends with them, and direct discretionary spend percentage is spent with each type. 

 

  1. “Benchmarking”: Enables users to see their VP/MBU or department’s spending in context of overall University spend, or against other VP/MBUs or departments.  

  • View the top five departments by SWaM Spending, top five SWaM suppliers, and find detailed information about payments. 

 

  1. “Supplier Information”View spending by supplier by SWaM type, or find a SWaM-certified supplier that other departments have used by expenditure type.  

 

  1. “Data Definitions”Find the definition and source of data fields used in the dashboard. 

 

Tips for using the dashboard 

  1. Moving Between Sheets: Select the forward or back arrow in the upper right-hand corner of screen to scroll between   

 

 

 

 

You can also select a sheet by clicking on the “Sheets” button on the top right of the screen. 

 

  1. Filters: Use the “Filters” section on the left-hand side of screen to filter by fiscal year, fiscal month, supplier type, SWaM Type, VP organization, Org, and Expenditure Type. View current filters in use on the top left of the screen. The default filter on the dashboard is for the current fiscal year. 

 

 

 

  1. Pivot Table “Drag and Drop”: There are pivot tables in the “Benchmarking” and “Supplier Information” sheets that allow users to customize their data exploration experience by clicking and dragging on the filter boxes to support the series of information you wish to see. 

Example: 

On the “Benchmarking” sheet pivot table, the default order of fields is SWaM, VP Organization, Organization, Supplier Name, and Expenditure Type: 

 

You can also drag and drop the series to show the information in this order (the fields are not limited to these two examples; experiment to find the combination of reporting fields that works best for you): 

Expenditure Type, SWaM, Supplier Name, VP Organization, Organization
